This Privacy Policy describes how Pacific Apps, Inc., provider of iDialogue (“Pacific Apps”, “iDialogue”, “we”, “our”, or “us”), collects, uses, processes, and protects personal information in connection with our services.

- Customers and authorized users
- End users interacting with embedded or API-powered experiences
2. Information We Collect
We may collect the following categories of information:

- Name, email, organization, billing details
- Account configuration and preferences

- Interactions with agents and services
- Prompts, responses, and transcripts
- Feature usage and performance metrics

3. How We Use Information
We use information to:
- Provide and operate the platform
- Process requests and generate responses
- Maintain transcripts and service history
- Maintain and improve iDialogue service quality, reliability, and security
- Communicate with users and provide support
- Comply with legal obligations
4. AI and Data Processing
- Customer data may be processed by configured AI or document-processing providers to deliver requested functionality.
- Under the iDialogue-managed OpenAI integration, customer data sent through the OpenAI API is not used to train OpenAI models.
- Customers using their own OpenAI key administer their OpenAI organization, project, and available provider settings.
- iDialogue may maintain approved conversation context for dialogue continuity so users do not have to repeat or re-teach what has already been established.
- Document generation, OCR, image analysis, and transactional work are task-based and do not create conversational memory.
- Requested files and generated artifacts may be retained in the secure iDialogue repository. Operational records may also be retained for service, security, support, usage, billing, contractual, or legal purposes.
- Depending on the feature, processing inputs may include selected Salesforce fields, files, instructions, and approved conversation context.
- AI-generated outputs may be non-deterministic or probabilistic and should be reviewed before consequential use.
Provider administration, optional provider programs, dialogue continuity, repository storage, and operational records are separate controls with different purposes and lifecycles. 5. Sharing and Disclosure
We do not sell personal data.
We may share information with:
- Service providers and infrastructure partners supporting platform delivery
- Professional advisors and legal authorities where required
Service-provider disclosure is limited to what is reasonably necessary to provide, secure, support, or administer the service, or to meet legal obligations. Optional Connections are used only when configured and invoked by the applicable workflow.
6. Cookies and Tracking
We use cookies and similar technologies to:
- Enable core functionality
- Analyze usage patterns
- Improve user experience
Users may control cookies through browser settings.
7. Data Retention
Retention is determined by data class, selected feature, customer agreement, provider configuration, and applicable legal or operational requirements. Dialogue history and approved context may be retained to provide continuity. Task inputs used for document generation, OCR, image analysis, or transactional work do not become conversational memory. Requested repository files, generated artifacts, indexed knowledge, operational and security records, backups, and billing records can each have different lifecycles.
Verified deletion or export requests are handled within contractual and technical boundaries. Legal holds, security investigations, backup lifecycles, disputes, tax, financial, and other legal obligations can require exceptions. See the Data Retention Policy.
8. Security
We implement reasonable administrative, technical, and organizational safeguards, including:
- Encryption
- Access controls
- Monitoring and logging
No system can be guaranteed fully secure.
9. Your Rights
Depending on jurisdiction, users may have rights to:
- Access personal data
- Correct inaccurate data
- Request deletion
- Restrict or object to processing
Requests may be submitted via our contact channels and will be processed within a reasonable timeframe.
10. International Transfers
Data may be processed in the United States and other jurisdictions.
We implement safeguards appropriate to applicable law.
11. Children’s Privacy
Our services are not intended for individuals under 13 (or equivalent minimum age in relevant jurisdictions).

We may update this policy from time to time.
Changes will be posted with an updated effective date.
